Privacy Policy

Intendo Benefits Administration Inc. operates a Private Health Services Plan (PHSP) under the domain of http://www.intendo.ca, providing affordable, comprehensive and tax effective health benefits across Canada.
Throughout this Privacy Policy the use of “we”, “us” and “our” refer to Intendo Benefits Administration Inc., while “you”, “your”, “they” and “them” refer to businesses, clients, customers, employees (plan members), employers (plan owners) or website users.
1. Our commitment
The privacy and security of your personal information as it is collected, stored, used, is our top priority. We are committed to the privacy of all client and associated employee personal and medical information and maintaining the confidentiality of all account, claim, contract, deposit and payment information.
2. Information collection, storage, access and use
In the course of operating our PHSP, we collect personal information, including, but not limited to, your name, date of birth, street/postal address, phone number(s), email address, gender, marital status, dependent information, employment information and medical information. All information collected is stored in the format provided or converted to electronic format with the necessary safeguards and security measures in place, with electronic information stored in secure data repositories.
Access to this information is restricted to authorized personnel only, and access is further limited to the extent required for account administration, product and service provision, or any person(s) whom you so authorize.
The information collected and stored is accessed and used for the express purpose of providing you with the benefit product(s) and service(s) outlined in our contractual agreement, including to:
- Verify identity, open and manage an account and associated preferences
- Validate eligibility for benefit coverage
- Adjudicate benefit claims to meet Canada Income Tax Act guidelines
- Record financial detail pertaining to benefit transactions for accounting purposes
- Report applicable federal and provincial tax information as required by Canada Revenue Agency (CRA)
3. Information disclosure, consent and retention
Personal and medical information will not be disclosed to any third party, unless we have prior consent. The only exception is the Government of Canada’s regulatory bodies, and only under circumstances we are required to do so by law. You can provide consent orally, in writing, electronically or through an authorized representative.
We retain your information for durations as dictated by regulatory requirements to ensure it is available in the event of future inquiries. Currently, this requirement is seven (7) years. Consequently, your personal information is retained for as long as you remain our customer, and for seven (7) years following your last transaction with us. At that time, your information is securely purged.
4. Website use, location and cookies
We are also committed to respecting the privacy of individuals who visit our website. Therefore, we do not collect personal information automatically from any site visitor, such as name, street/postal address, phone number(s) or email address during your visit to the website. This information is only obtained if you supply it voluntarily, such as when contacting us via email.
We may collect certain information automatically that your web browser sends whenever you visit our website. This information may include, but is not limited to, type of device, device ID, Internet Protocol (IP) address, operating system, web browser, the pages visited, the time and date of the visit, the time spent on the pages visited and other statistics. On mobile devices, this may include your location information, which you can enable or disable at any time via the Location Services settings on your mobile device.
In addition, we may use third party website analytics services that collect, monitor and analyze this type of information in order to improve our website functionality. These third party service providers have their own privacy policies addressing how they collect, store and use such information.
We may also use “cookies” to collect information via our website. A cookie is a small piece of data sent to and stored in your web browser from a website and is specific to the device used and website accessed. It can only be used during your current or return visits to the same site, when using the same web browser from the same device.
5. Email and text messages
Since email and text messages sent over the internet may not be encrypted and can potentially be intercepted, we urge you to always exercise caution when sending email or text messages to us, ensuring you do not include personal information in such messages. However, if you choose to send personal information to us by email or text we will accept and respond to or act on it as may be required.
When you do send us an email or text, request us to respond to you via email or text, we obtain your email address or phone number as well as any information contained in the email or text. In accordance with Canada’s anti-spam legislation we will only use your email address or phone number to acknowledge comments and/or reply to questions, and we will store your communication and our reply to facilitate further correspondence.
We may also use your email address or phone number to send you acknowledgments or queries related to account registration / maintenance, claim submission / adjudication, payment receipt, reimbursement processing, tax receipt issued, and reminder notices from time to time as appropriate. Our financial institution may also send you a separate email or text notification of direct deposit into your account, if that is your preferred reimbursement payment method.
Be assured though that we will never sell your email address or phone number to anyone. If, however, you don’t want us to contact you via email or text, you may inform us at any time and we will respectfully honor that.
6. Conflict resolution
We are committed to resolving disputes within 24-48 hours of acknowledged receipt. If problems arise, please do not hesitate to contact us.
